How do I file a claim?

Claims are managed directly from your HousingAnywhere account

That means you don’t need to search for a separate claims portal or work out which documents apply on your own. We’ll guide you through the right steps based on your rental and the type of claim you’re making.

👉 Only you, as the landlord or property manager, can submit a claim.

Start your claim

  1. Go to Claims in your HousingAnywhere account

  2. Select Fill a claim

  3. Choose the rental the claim relates to

  4. Select the type of claim:

    • Rent Guarantee

    • Damage Cover

  5. Follow the steps shown for that claim

  6. Upload the requested documents

  7. Review your claim details

  8. Submit your claim

You’ll see the rentals that are eligible for a claim, so you can choose the right booking before you start.

Which rentals are eligible for a claim?

When filing a claim, you can only select bookings that meet all eligibility criteria. If a property is not listed, click "Why are some rentals missing?" on your screen to view ineligible bookings.

  • Eligible rentals

To file a claim, the booking must meet all of the following conditions:

    • Worry-Free booking: The booking was opted into and activated under Worry-Free booking.

    • Paid status: The booking is in paid status.

    • Active timeline: The tenancy is currently ongoing or the move-out date was less than 60 days ago.

Ineligible rentals

A booking is no longer eligible if the tenant moved out more than 60 days ago, if protection was not activated before move-in, or if the booking is unpaid.

What information will I need?

The information and documents you need depend on the type of claim and, for Damage Cover, the amount you’re claiming.

We’ll show you what is required as you go, so you can prepare the right documents before submitting.

  • For Damage Cover claims

You’ll be asked to provide information about the damage and the amount you’re claiming.

Depending on the claim, documents may include:

    • The signed rental contract

    • The signed move-in report

    • The signed move-out report or other accepted check-out report

    • Clear photos of the damage

    • A repair or replacement quote or invoice

    • Proof that you formally asked the tenant to pay

    • The tenant’s proof of identity

    • Proof of the tenant’s enrolment or employment, where required

For larger claims, additional documents may be required. You’ll see the exact requirements directly in the claim flow.

Before you submit, you’ll see a Review & submit step that shows the amount you’re claiming and the files you’ve added. This gives you a chance to check that everything is complete before sending it for review.

  • For Rent Guarantee claims

    Start by choosing what happened:

    • No-show — the tenant did not move in as agreed

    • Early move-out — the tenant left before the agreed end date

    • Unpaid rent — the tenant has fallen behind on scheduled rent payments

We’ll then show you the documents needed for that situation.

    These may include:

    • The signed rental agreement

    • The tenant’s proof of identity

    • Proof of enrolment or employment

    • Rent statements or payment records

    • Proof of the formal notice sent to the tenant

    • Relevant communication with the tenant

For Rent Guarantee claims, you also need to authorize Mila to contact the tenant and recover unpaid rent on your behalf.

This allows the recovery process to be handled as part of the claim rather than leaving you to manage it alone.

Keep everything in one place

Clear and complete documentation makes your claim easier to review.

Keep your reports, photos, quotes, invoices, payment records, and tenant communication together. This helps the insurance partner understand what happened and assess which costs can be covered.

What happens after I file a claim?

Once you submit your claim, you’ll see a confirmation in your HousingAnywhere account.

You’ll also see:

  • The type of claim you submitted

  • The rental it relates to

  • The claim reference

  • The current claim status

You can return to the Claims section of your HousingAnywhere account to follow your submitted claims.

If more information is needed, you’ll be contacted so you can complete the claim.

HousingAnywhere provides the claims experience, while the claim itself is reviewed by our insurance partners in accordance with the applicable policy terms.

  • For Damage Cover claims

Damage Cover claims benefit from a faster first review.Once the initial document check confirms that the required information is complete, a payout of up to €1,000 can be processed within 48 hours for your claims. During this first review, you can:

    • Receive a payout

    • Be asked for additional information

    • Be informed that the claim does not qualify

The full claim review continues afterward.

Once the full review is complete, Mila confirms the final coverage decision and compensation amount.

In some cases, the final review may change the initial decision. If this happens, the amount paid may be adjusted or recovered in line with the policy terms.

  • For Rent Guarantee claims

Rent Guarantee claims need additional checks because the insurer needs to review the rental agreement, payment history, supporting documents, and the circumstances of the missed rent, no-show, or early move-out.

If tenant recovery is required, Mila may contact the tenant directly once you have provided the necessary authorization.

You’ll be contacted if any further information is needed to continue processing the claim.

How long does the payout take?

The timing depends on the type of claim, the amount involved, and whether all required documents have been provided.

  • For Damage Cover claims

For Damage Cover claims, once the initial document check confirms that the required information is complete, a payout of up to €1,000 is processed within 48 hours.

This helps you access funds sooner for damage while the full review continues.

Claims above €1,000 or claims that require additional documents or assessment may take longer.

  • For Rent Guarantee claims

Rent Guarantee claims generally take longer because the insurer must review the rental agreement, payment history, supporting documents, and applicable policy conditions before deciding on a payout.

The exact timing depends on the circumstances of the claim and how quickly all required information is available..
