💡 Why and when to share documents, who can access them, and how they’re secured.

Some landlords need supporting documents — like proof of identity, proof of enrollment/employment, and proof of income — before confirming your booking. These documents help the landlord verify your details and confirm you’re a match. It’s an important step in renting your next home.

Which supporting documents to share, and why

Sharing documents is an important screening step in the rental process. It allows the landlord to verify your details and confirm you meet all their tenant requirements.

On HousingAnywhere, landlords can specify which documents they need, including:

  • Proof of identity
    Government issued ID or passport.

  • Proof of enrollment/employment
    University enrollment certificate, internship or employment contract.

  • Proof of income
    Salary slip or bank statements from you or your sponsor.

When to share documents

When you message a landlord who needs documents, we’ll ask you to share documents right away. How come? Uploading documents early increases your chances of renting by 5x. Landlords are more likely to respond to messages from tenants who prove they're a match.

Not ready to share documents yet? That’s okay, too. You can skip this step for now and continue messaging with the landlord. But keep in mind that you’ll need to share documents later, before sending a booking request.

Who you can share documents with

Short answer: verified landlords, only after providing individual consent.

What are verified landlords?

We verify the identity of every landlord on HousingAnywhere, so you always know who you’re sharing documents with.

Landlord verification is mandatory and comprehensive. To keep HousingAnywhere safe for everyone, we verify landlords’:

  • ID – Required to join HousingAnywhere and send messages.

  • Email and mobile number – Required to create and publish listings.

  • Billing address and bank account – Required to receive payouts.

A note on accountability

To join HousingAnywhere, all landlords also agree to our Terms & Conditions and Privacy Policy. This, along with identity verification, holds landlords legally accountable for any non-compliant activity.

We’ll ask for your permission every time

We’ll never share your documents without your clear consent. The first time you share documents, you’ll share them with a specific landlord. At that point, we’ll save your documents so you can share them with other landlords easily later. Remember, sending multiple booking requests increases your chances of renting.

Each time a new landlord asks for supporting documents, you’ll see this same Documents page. It will now include your saved documents. You can delete and replace them, as needed. Next, provide your consent to share your documents with the new landlord.

Safeguarding your documents

For extra security, you can safeguard your documents by following these steps.

Hide sensitive information

You can hide or cross out sensitive information, such as national identity number, passport number. If a landlord needs these details later, they can request them directly.

Write ‘Copy for landlord’

On your documents, write ‘Copy for landlord’ and ‘For a rental agreement for [street name, number], [city], [country].’

Write the date of upload

On your documents, write the date of upload. E.g., 15 August 2024.

Managing your documents

You can delete your saved documents from HousingAnywhere anytime.

  • Log in and go to your Profile (top right).

  • From the dropdown, select Account.

  • In the left navigation, select Supporting documents.

  • You can manage your uploaded documents here.
